Personnel Records

All personnel files are confidential to the employee and the University and are secured in the Office of Human Resources.  Personnel files will not ordinarily be released to anyone outside the University unless the employee supplies a notarized written statement releasing the file (or a part of it), or unless required by law.  Medical records are maintained in a separate file.  If you wish to view your personnel file, you must make an appointment to review the file in the presence of an Office of Human Resources staff member.

Examples of documents contained in the personnel file are:

  • employment application and/or resume
  • college transcripts
  • job descriptions
  • records relating to hiring, promotion, demotion, transfer, reassignment, layoff, compensation, education and training
  • letters of recognition
  • disciplinary documents
  • performance evaluations
  • documents relating to separation from employment
