On-Campus Student Employment

On-campus student employment requires enrolled students to apply for on-campus jobs through the Career Center at Handshake.  After being hired, there are steps you need to follow to get into the payroll system.  Student Financial Services ensures that all student hire requests are processed, electronic timesheets are created for each job and student employees are setup in Central Payroll Bureau's payment system so you can get paid in a timely manner.

How to Complete the Hiring Process

By the time you come to our office, you should have applied and been selected for a position on-campus.  Next steps are:

  1. Your hiring department completes the Student Hire Form; both you and your supervisor sign it and the department should make a copy for your file.  You keep the original to complete next steps. 
  2. Take the form to the Office of Human Resources (OHR) to complete the I-9 in person before the first day you begin to work.  You need to bring original I-9 acceptable documents to demonstrate your US work authorization. You will also complete a Tax Residency Status Form and be given a copy to keep.  
  3. If you are working with minors under the age of 18, you must be fingerprinted by OHR; you will be given a separate slip indicating you have completed this process.
  4. After completing the I-9, submit these forms to our office.  We are located on the fourth floor of the Administration Building - follow the signs for Payroll. 
  5. While at our office you will be required to complete and submit form W4/MW507 (PDF).

Once you're hired, follow the procedures to complete timesheets and review additional payroll information managed by the Payroll Office.
